How can a recruiting agency automate finding new clients?
Start from the roles you fill and the cities you fill them in. We build a list of hiring managers in those roles and cities, each with a one-line opener written from their own public profile, in a spreadsheet you own. The first list of 500 is free and takes about five days; if it is useful, we run it weekly as an optional list service ($600 a month for up to 300 verified decision makers, $750 for up to 500), cancel any month.
What is an applicant inbox assistant for a staffing firm?
A small system that reads every applicant email that lands in your inbox, tags it (fit, not a fit, question) and drafts the reply in your tone, so a person only clicks send. It runs in your own Google Workspace. It is free to build, live within a week, and you pay nothing unless you keep it after 30 days.
Can AI screen applicant emails without sending anything on its own?
Yes, and that is the default. Replies are drafted for a human click; nothing goes to an applicant automatically until you decide, in writing, that the system has earned it. The tags and drafts are logged in a sheet so you can see what it did.
How much does automation cost for a recruiting agency?
Nothing for the first 30 days. If you keep the system on day 30 you pay $1,500 once (one system), $1,950 once (one system plus six months of us running it) or $2,950 once (two systems plus three months of weekly lead lists). No subscription starts; optional lists and monitoring are the only monthly items.
How long does it take to set up a recruiting automation?
A written plan within two business days of your answers, a working version on sample data within a week, then 30 days on your real emails to decide. Larger systems get their own dates in the plan.
Do we need an ATS or new software?
No. The systems work with your email and a spreadsheet. If you already run an ATS, Zapier or Make, we connect to it rather than replace it; if three small Zaps are all you need, we will say so. The workflow itself is built on n8n so you can own and export it.
What do you need from a recruiter to start?
For a client list: the roles you fill and the cities. For the applicant inbox assistant: a yes, then three short answers (where applications land and roughly how many a week, one reply you sent that sounds like you, and who reviews drafts). Everything happens in writing; no call unless you want one.
Is there a monthly fee for the recruiting systems?
Not for the system. Once kept, the workflow, prompts and runbook are yours. The only monthly items are optional: fresh lead lists ($600 or $750 a month) and monitoring after the included months ($250 a month per system), both started only when you ask and cancelled any month.
How can a marketing agency automate proposals?
Send us one proposal you have already sent. We turn it into a template that fills itself from a six-question form: your structure and tone stay, the client-specific parts become fields. The first draft comes back within 48 hours, free. Wiring it into your CRM and inbox is the paid part, and only if you want it.
What is a look-alike lead list and how do you build one?
You name your best client; we pull companies that look like them (same size, industry and region), each with a one-line opener, into a sheet you own. The first 25 come within 24 hours and 300 within three days, free. If you like the list, we show you how we keep it topped up weekly.
Can you write personalised cold-email openers at scale without AI slop?
Each opener is one line written from the prospect's own data (their role, company, city, what the company says about itself); it never invents facts and never claims we know the person. Rows with too little data get no opener rather than a fake one, and a person reviews before anything is sent.
Do you connect to our CRM and inbox?
Yes, when you want it. Proposals and follow-ups are drafted in your inbox for a human click, and the CRM connection is part of the paid version of the proposal system. We build on n8n, which connects to most CRMs; we tell you in the plan exactly which fields move where.
What does a done-for-you outbound engine cost?
The list side is published: $600 a month for up to 300 verified decision makers with openers, $750 for up to 500 refreshed weekly. A fully run engine (lists, campaigns, replies handled, a weekly report) is quoted in a written plan against your own numbers; the plan page shows the cost per positive reply and per booked conversation before you decide.
Who owns the automation once it is built?
You do, once you keep it. During the free 30 days the workflow runs on our n8n with the access you grant; on payment it moves into your own n8n with the prompts and a runbook. If you do not keep it, you still keep every result it produced.
Can an agency resell these systems to its own clients?
Ask in your reply to the plan and we will answer in writing. The systems are fixed-scope and built on tools you can own, so a per-client build is possible; pricing for that is agreed per case rather than published here.
How can an independent insurance agency automate renewal follow-ups?
From the renewal list you already keep (a spreadsheet is enough), a system emails each client 60, 30 and 7 days before a policy renews, in your words, and logs every reply in one sheet. It is free to build and running within a week; you pay nothing unless it is still running after 30 days. To start, we need ten sample rows; made-up names are fine.
How do I answer quote requests within five minutes automatically?
Send us the link to your quote-request form. We add the piece that replies to every request within five minutes with the exact documents and details needed to quote that line of business, and puts the request in a tracking sheet for your CSRs. Free, in five days; you pay only if you keep it.
Where does our client data live, and is it safe?
In your own Google Workspace: your inbox, sheets and documents stay there. During the free period the workflow runs on our n8n with access you can revoke at any time; once you keep it, it runs in your own n8n. We do not handle health or life data. If you walk away, we switch the workflow off and delete your data within seven days.
Will automated renewal emails annoy clients or break rules?
They are transactional messages to your existing clients, sent from your own address in your own words, one per client per step, with an opt-out line, and they stop the moment a client replies. You approve the wording before the first one goes out.
What does automation cost for an insurance agency?
Nothing for 30 days. Then $1,500 once for one system, $1,950 once with six months of us running it, or $2,950 once for two systems that feed each other (for example the renewal follow-ups and the quote-request reply). Nothing renews unless you add an optional monthly service.
What do you need from us to start?
For renewals: ten sample rows in the format we send you. For quote requests: the link to your form. Then a Google Workspace sign-in or a forwarding address, and one example of your own writing so the replies sound like you.
Can the system route requests to the right CSR?
Yes. The tracking sheet carries a CSR column and the reply names the line of business, so requests can be assigned by line or by round-robin; we set the rule you choose in the plan.
Does this work for a one-person agency?
Yes; that is who it is built for. The systems are meant for agencies of one to twenty people that keep their book in a spreadsheet or a simple management system and answer email themselves.
Can AI answer inquiries for a CPR class or training business?
Yes. We start with a one-page document of the ten questions your customers ask most (dates, price, registration, what to bring, certificates, group training) with the replies we would draft in your words. If it is about eighty percent right, the same replies go out as drafts from your own inbox on your real inquiries within a week; anything about pricing for groups, refunds or medical questions is flagged for a person.
Can you send a confirmation automatically when a student pays?
Yes. When a payment matches a registration, the student gets a confirmation email with a paid invoice on your own template, and the class list updates. Payments that do not match anything are flagged for you rather than guessed.
Can you remind students when a certification is about to expire?
Yes. Reminders go out at 30, 14 and 7 days before expiry and at expiry, one per student per day at most, and they stop the moment the student replies or rebooks.
What does a front-desk inbox system cost for a small training business?
The same as every Rotewise system: free for 30 days on your real inquiries, then $1,500 once for one piece, or $2,950 once for the whole set (inquiry replies, payment confirmations, reminders and a class page) if you keep it.
Do you need access to our booking or payment tools?
Only what the plan names: usually your inbox (sign-in or a forwarding address), the spreadsheet or list you already keep, and read access to the payment notifications you already receive. You grant it, and you can revoke it at any time.
What is Rotewise?
Rotewise is a small US automation studio that builds and runs n8n systems for recruiting, marketing and insurance agencies and class-based training businesses: inbox assistants, lead lists with openers, proposals that fill themselves, renewal follow-ups and quote-request replies. Every system is free to build and run for 30 days; you pay once, on day 30, only if you keep it.
Is Rotewise run by people or by AI?
Both, and we say so. The building and the day-to-day operations are run by AI agents under a human owner's direction; a person reviews every plan, every price and everything that goes to a client. Our own back office runs on the same systems we sell.
Do I need a call to get started?
No. You answer ten short questions on the site, get an agenda email straight away, and within two business days a written plan on its own page: what we heard, what it costs you today, what we would build, the dates, what we need from you, the terms and the one price if you keep it. You accept it with one button. If you would rather talk, say so and we set up a call.
What tools does Rotewise build on?
n8n for the workflows (so you can own and export them), Google Workspace for email and sheets, OpenAI for drafting with no training on your data, and Apify, Firecrawl and Instantly for lists and sending. We connect to Zapier, Make or an existing CRM when you already run them.
Why n8n instead of Zapier or Make?
Because you can own it: once you keep a system, the whole workflow moves into your own n8n with the prompts and a runbook, and nothing keeps renewing. We still connect to Zapier or Make when that is what you run, and if a few small Zaps are all you need we say so.
Does a person review things before they are sent?
Yes, by default. Replies, proposals and follow-ups are drafted for a human click until you decide, in writing, that a system has earned automatic sending.
What happens if we do not keep the system?
You keep every result it produced: the lists, the sheet, the drafted replies. We switch the workflow off, delete your data within seven days, and nothing lingers in your accounts. Nothing was invoiced.
Is there a guarantee?
The structure is the guarantee: nothing is invoiced until you have watched the system run on your real data for 30 days and chosen to keep it. The numbers on our pricing page are from our own operation, and client results are published only with written permission.
Can we pay in instalments?
The system is a one-off price and there is no plan that bills you monthly for it. If you would rather spread a build over two or three months, ask in your reply to the plan and we will put an answer in writing.
How do you measure whether a system worked?
Every system logs what it handled and what it flagged for a person in a monthly numbers sheet in your own Drive. The day-30 decision is made on that sheet, not on a demo.
What is the first step?
Ask for a free build plan on the home page: ten short questions in your own words, no call, no card. You get the written plan within two business days.
